Office Manager

Callstack supports and inspires other developers and companies to launch their products for everyone at the same time, on every platform. We are strong open source contributors, core contributors to React Native, cross-platform development experts and a team of developers passionate about new technologies. We pride ourselves on providing sustainable, top-end solutions to our clients from all around the world. We are recognized in React Native Community as contributors to Open Source projects, organizers of React Native EU as well as speakers at several international conferences. We also organize regular community meetups in our HQ in Wrocław, Poland.

We are looking for an Office Manager to take responsibility for our facilities and working conditions, coordinate the company's administration and ensure a proper office workflow. At the same time you will also work on finding and moving Callstack into a new, lovely office by the end of 2019. Therefore, we count on your experience, market knowledge and strong soft skills to smoothly handle all these responsibilities.

Expectations

You will

  • Conduct a thorough sourcing process and define selection criteria for our new office space.
  • Handle negotiations with office tenant and contractors (e.g. architects, construction workers) and pursue the best possible offers available on the market.
  • Coordinate the moving process in a smooth and organized manner.
  • Strong drive towards learning new technologies and knowledge-sharing initiatives
  • Handle negotiations with other office suppliers and vendors.
  • Prepare contracts and coordinate its signing with our external partners.
  • Support administration of employee benefits, accounting and payroll.
  • Handle internal company documentation in accordance with GDPR regulations.
  • Timely coordinate business correspondence (couriers, post office).
  • Manage our stock of office supplies and place orders.
  • Prepare conference rooms and facilitate business meetings.
  • Co-organize meetups, company events and team retreats.
  • Coordinate business trips - book flight tickets, hotels, etc.
  • Prepare work stations for new joiners.
  • Coordinate our front-office desk and be responsible for the reception of visitors.

Requirements

Must have

  • Prior experience on a similar position in office management and/or administration.
  • Exceptional organizational skills.
  • Sense of responsibility and punctuality.
  • Ability to work independently with minimal supervision.
  • Commitment in fulfilling assigned duties and passion for office administration field.
  • Knowledge of MS Office and G Suite applications.
  • Fluent command of English (minimum B2 level).

  • Prior experience with the process of moving company into a new office.
  • Basic knowledge of accounting, payroll & financial settlements.
  • Knowledge of Health & Safety standards.
  • Understanding of GDPR regulations.
